I been trying to lock down the DaBoyz GT date with the University of Rochester Simulation Gaming Association (URSGA), but they have not been very responsive and I feel they do want to host our event. What is happening is that we missing the ball to do advertising and getting sponsors for our event. Also we are losing players from out of our local area. For example the war store www.thewarstore.com/ is going to be running an event in jersey that weekend. So because we did not have a date selected we are going to lose people from that area. Everyday we do not have a date we losing players to other events because gamers are trying to plan there tournament schedule. So what this comes down to it if I don’t get an answer in the next two weeks I am moving the event. I have already checked on a couple of locations, but what is going to happen is that we are going to have to raise ticket prices. Most likely the tickets are going to be 70 to 90 dollars. Yes I understand that a lot of local people will not be able to afford this. Sorry, but there is nothing I can do at this point.

What about talking to the gaming club at RIT? They might be interested in helping out.

After talking with Jay, Rob, James,etc... and gathering online feed back it looks like this is the information on next years event so far. -October 15-17, 2010 I thought the date WAS selected. I've already put in for that weekend off work. I missed last years due to work and if it's changed from the weekend I had to put in months in advance to get I may lose out again, which will be disappointing. I definitely can't afford $70-$90 anyway, and honestly don't see the value for it as a player. I mean, what am I getting for close to a hundred bucks? I understand that you are trying to get people in from out of town, but what about the local people? Why host a local GT if local people won't be able to play anyway? You're running the show though, so whatever you decide.

My response WAS accurate when it was posted but things have changed. To put blame squarely where it belongs, U of R has been anything but helpful in allowing us to lock down a date. Jay has requested that previous mentioned date since last year and been hit with numerous roadblocks, the first being that no one could lock in a date until spring of the next year, then some mystery person seemed to have booked that date out ( however no one can tell us who), etc. I have seem a long list of correspondence that Jay has where every office seems to pass the buck to someone else. If anyone has any pull or insite please step forward and help!
As for the price, I too believe an event in excess of $50 will severely limit the attendance, especially since many players are poor college students, along with a still weak economy, etc. I do think that RIT should be considered, now is there anyone that could help us out in securing a date for our event there?

Ok here is the deal, I know a lot of you do not travel for Big events so I will explain. This is not a 3 round Rogue Trader Tourney. Yes the price is up there but it is still much cheaper than most 5 round events. If any of you have been to a GT before GW stopped holding them you were paying $100+ for a ticket and all they gave out for prizes were plaques or award printed on paper. A GT is about playing for the experience, playing people outside your area, playing on great tables, seeing what you got and the experience of being out with your friends way from everything. We have also busted our butts getting prize support for this event going to tones of vendors all the way up to the national level. We have Thousands of Dollars worth in prize support that you have the opportunity of playing for. I can tell you that there is no tourney out there that has this kind of prize support at that price point, so consider yourself lucky. Jay and I do not want to raise these prices but if we have to get it done we will. We have spent tons of hours working on this and doing what we can to make it run smoothly.

You're running the show though, so whatever you decide. The date has been selected since last year, but i can't get anyone to confirm to it. The cost is simple math. If we have to move it to a hotel it is going to cost around $5,000 dollars. $5,000 divided by 80 people is 62 dollars. The 62 dollars just pays for the space, nothing else.

yea, mechanicon is $125 this year, and i'm still probably going to that.. its at a hotel. GT's are expensive, because you can't just hold them at a gaming store like millenium and call it a day. I'd like it if the tournament is at RIT, U of R is a bit hard to drive to.
The cafeteria at RIT in the SAU is definitely large enough, though I don't know how you'd go about reserving it.

$100 for at GT is one thing. But what about those playing in the apocalypse game? $100 is a steep price tag for a one day apocalypse game with no prize support.
Keep us posted because myself and other have already requested time off with our employers.

Edit: So I looked into it, and October 15-17 is Meliora Weekend at U of R. This is the equivalent of homecoming and parents weekend wrapped into one, so that is probably why they are hesitant to rent out the space for that weekend. And it's the university itself that has the space rented for that weekend, so I don't think they'll be willing to budge. There's a calendar here that let's you see when buildings are reserved: www.calendar.rochester.edu/BrowseForSpace.aspxIf you go a weekend in either direction, it looks like Douglass is open. Students with club permission can book a room through that site as well. So if the URSGA doesn't get their act together, I could theoretically insert myself into the club and try to sway opinion or try to book the building myself.

Ouch, that hurts. A c-note is definitely steep for a lot of folks around here, myself included. I'm gonna try my best to go this year, I just don't want to go bankrupt doing so I don't know much about organizing things or even who to get in contact with at RIT or elsewhere, but if there's anything I can do I'd be happy to help out.

We will try to keep everyone posted, and we are trying for the same weekend but we have not gotten a confirmed date yet. I am sorry if you have already taken off work but we have not been able to confirm a date. WE WILL POST THE DATES AS SOON AS WE HAVE ONE CONFIRMED. No one said the apocalypse game would be $100 and no one said $100 for the GT either, if people read my post it was use of an example to help explain What The Players got out of it. Also no one said there wasn't going to be prize support for Apocalypse..

Has anyone considered asking Geneseo? Haven't we held it there before? I know the space we had that time wasn't ideal, but it was also during a major con. Since we are doing this independent of a con, we cold probably get a better space. Just a thought.
Might not hurt to ask around at other colleges too. It's not like we have a shortage of them in the area.

I have helped with the GTs since I started playing 40k so you know I am down to help again. I was using $100 as an example since it was used earlier. I was under the impression the GT entry fee got you for the GT or for the apocalypse game and other activities. I am down for the apocalypse game and I understand that the price might increase due to the location move. I just don't want those playing in the 1 day event do not have to eat too much of the cost. That's all. You know I am willing to help in anyway so let me know what you need me to do. I will not post until you have confirmed dates and rates so things do not get confusing.
